Job Summary:
Ice Miller, LLP is seeking an experienced Legal Billing Analyst to join our team.
The Billing Analyst will provide high level support to our practice groups, manage the delivery and processing of invoices through various electronic systems, and work collaboratively with the pricing team to advise attorneys on the firm’s pricing and fee options as needed.
This position requires excellent attention to detail and effective communication across teams.
The employee must be capable of working in a fast-paced environment with time-sensitive materials and maintain strict confidentiality due to the nature of the position.
New York salary in the range of $36.
42 to $43.
59 dependent on experience level.
Essential Job Duties: •Perform full-cycle billing functions for attorneys including but not limited to bills, client statements, audit letters, third party, and non-client disbursements •Liaise with attorneys and practice group leaders regarding billing requirements and delinquent and partial billing •Provide insight and guidance to practice group leaders and partners regarding pricing options to maximize profitability •Manage client billing cycles and be knowledgeable about client contractual agreements and relationships •Proactively seek ways to improve billing process •Monitor and update new clients and maters for required billing guidelines, invoice formats/settings, discount and rate arrangements •Handle mid month and month end proforma runs with assistance from billing supervisor •Demonstrate an ability to be proactive and provide best-in-class service to attorneys, staff, vendors and clients by being professional and responsive •Understand the Firm’s electronic billing system and process ebilling invoices as needed •Identify trends and issues with performance in relation to practice group profitability and client fee agreements •Ensure data accuracy in intake process •Understand and utilize systems to maintain information •Run reports, analyze data and prepare spreadsheets •Provide training on new software •Lead billing and timekeeping system-related orientation sessions for new team members •Assist in developing procedures and documentation •Compare and analyze financial data to propose billing solutions •Review and understand discounting, rates, pricing, and volume discounts •Stay up to date and educate attorneys on the firm’s alternative fee options •Handle billing spark box and overflow as needed •Acts as a backup to team members and be proactive in assisting others to ensure deadlines are met timely •Process electronic invoicing of clients using client-determined external websites •Process and mail final copies of invoices (in all formats) •Understand technical aspects of billing software and utilize systems to maintain information •Resolve inquiries and issues related to billing functions •Bring aging WIP to Management’s attention and analyze for handling twice a year; mainly during year end close •Performs other duties as assigned or required to meet Firm goals and objectives Minimum Requirements: •Associates or Bachelor’s degree in Accounting related field preferred; High School Diploma required •Strong bookkeeping background •Must be a self-starter with a high level of initiative •Experience of electronic billing sites and eBillingHub, required •Experience of Ledes and XML formats, required •Prior experience working in a professional services or law firm setting, preferred •Continuous learner seeking out additional supervisory responsibilities •Strong analytical skills and ability to use data for process improvement and efficiencies •Strong proficiency in Microsoft Office products •Able to adapt to fast pace work environment •Ability to multi-task and effectively manage time •Strong attention to detail, organizational skills and the ability to handle multiple projects •Strong technology skills and ability to learn and teach others new software •Excellent written and verbal communication skills •Ability to work independently with minimal supervision and to prioritize duties and use good judgment •Strong interpersonal skills necessary to deal courteously and effectively with a diverse group of people, both on the phone and in person •Integral team player for the billing team •Must be able to perform all essential duties Ice Miller is committed to recruiting, developing and retaining talented attorneys and professional staff from all backgrounds.
