Position Summary:
The Sales & Catering Administrative Assistant assists the sales & catering team by accurately and efficiently performing the execution and coordination of all sales & catering functions.
The Sales & Catering Administrative Assistant reports directly to the Director of Sales & Marketing.
Knowledge, Skills & Competencies:
- Proven experience as a Sales Admin, Sales Support Coordinator, or similar role
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in MS Office-Word, Excel & PowerPoint
- Proficiency in Delphi
- Attention to detail
- Ability to work independently and effectively in a fast-paced environment
Core Responsibilities:
- Support the sales & catering team with administrative tasks
- Perform job according to standard operating procedures
- Answer telephone inquiries and qualifying business to assign to the appropriate Manager
- Coordinate sales meetings and schedules
- Prepare and distribute sales reports
- Provide exceptional customer service and hospitality to all guests and clients
- Collaborate with other departments to ensure smooth sales operations
- Maintain organized sales records and filing system
- Create conference center door signs for groups in meeting rooms as well as maintain the reader board in the lobby with all group functions
- Order office supplies for the sales office as directed by the DOSM
- Prepare sales kits
- Complete sales proposals, contracts, BEOs, and banquet checks
- Make copies of room contracts, group resumes and rooming lists, BEO's, daily reports and client evaluation forms and other items as required; distribute to the appropriate departments
